Job Overview

This position performs a variety of clerical, administrative, and overall office support for the HR department before and during the San Diego County Fair (on or about March 1st - July 11th).


Duties and Responsibilities include, but are not limited to, the following:

  • Provides excellent customer service in person, by phone, and via email to answer questions promptly and/or re-direct calls to the appropriate department and taking messages for team members when necessary.
  • Checks emails and voicemails daily.
  • Greets and verifies the purpose of the visit for everyone who walks into the department.
  • Operates a variety of office equipment including computer and software applications, copier, scanner, fax machine, and telephone.
  • Provides customer service to patrons daily, working with frequent interruptions.
  • Prepares correspondence, information packets, forms, and other paperwork, verifying completeness and accuracy.
  • Organize electronic documents while following compliance laws and organization regulations when working with sensitive and confidential information.
  • Helps maintain HR spreadsheets by entering accurate data and updating as needed.
  • Sends out onboarding resources and tasks to temporary employees.
  • Reviews applications and screens applicants for temporary positions.
  • Handling daily administrative and HR tasks.
  • Assisting HR managers with recruitment.
  • Maintaining employee records.
  • Providing clerical support to all employees.
  • Promotes the District's F.A.I.R. values by creating A+ quality guest experience for both internal and external customers.
  • Performs other related duties as assigned or requested.

Qualifications

    • Excellent customer service, administrative, organizational, and communication skills.
    • HR experience is a plus.
    • Detail-oriented team player with the ability to multi-task in a fast-paced environment.
    • Ability to work independently or cooperatively in a group setting to perform responsibilities accurately and efficiently.
    • Strong typing skills.
    • Strong analytical and problem-solving skills
    • Ability to meet ongoing deadlines while adapting to changing priorities.
    • Knowledge of office procedures and equipment including computers and applicable software, including Microsoft Word and Excel.
    • Experience with E-Verify and processing I9s.
    • Good judgment and professionalism, including ability to maintain confidentiality and handle sensitive information.
    • Willingness to work long hours and weekends, and flexibility with schedule changes.


    Working Conditions

      • Works in a standard office setting with fluorescent lighting and operating standard office equipment.
      • Pushes and pulls file drawers.
      • Must be able to walk, sit and/or stand for periods of time.
      • Work could involve being outside, walking long distances.
      • Work schedule may include weekends, evenings, and/or holidays (4th of July).
