Job Overview

A position within the Agriculture, Arts and Education Department that reports to the Creative Services Manager, the Theme Exhibit Coordinator plans, organizes, and implements programming elements for a dynamic and educational exhibit created for the San Diego County Fair.

Oversees staffing for the installation, daily management and removal of the exhibit, including assembly, maintenance, and customer service functions.

Oversees the programming elements of the exhibit including stage, workshops, vendors and community organizations participating in the exhibit.



Duties and Responsibilities include, but are not limited, to the following:

- Participate in planning meetings. Assist Creative team with the exhibit display layout, signage, and creative collaboration.
- Collaborate on marketing efforts such as newsletter announcements, social media posts, emails, and networking.
- Serve as primary contact for exhibit partners, answering questions, ensuring consistent interpretation of procedures.
- Foster strong participation from demonstrators, experts and other content providers.
- Oversee stage schedule, presenters' communication, parking, and admission.
- Schedule and support live stage demonstrations and interactive exhibit elements.
- Review exhibit staff candidate applications and participate in interviews.
- Conduct staff training related to equipment handling and exhibit display operations.
- Conduct staff training related to customer service.
- Direct approximately (12) exhibit staff in appropriate daily exhibit operations.
- Order exhibit supplies, research materials, sources and equipment as needed.
- Order signs if needed and/or stage schedule slides and AV equipment for stage.
- Coordinate the set-up and maintenance of exhibits, including scheduling manpower and assigning tasks to exhibit attendants and assistant(s).
- Perform manual labor involved in the installation and removal of the exhibit, which may include using tools and equipment.
- Lead safe handling and installation of exhibits as directed; maintain exhibit cleanliness and display standards.
- Coordinate orderly exhibit removal.
- Compile material and equipment inventory; summarize post-event recommendations.
- Respond to verbal and written questions and concerns in a timely and knowledgeable manner.
- Practice and direct others in correct physical work methods and established standards; maintain a safe work environment.
- Use and direct others to use personal protective equipment (e.g., gloves, googles) properly.
- Perform other related duties as assigned or requested when needed.

Qualifications

  • Strong organizational and communication skills. Experience coordinating exhibits or events preferred. Proficiency in Microsoft Office.
  • Customer service skills with calm problem-solving approach.
  • Knowledge of competition/exhibit subject preferred.
  • Ability to direct staff/volunteers in fast-paced environments.

Working Conditions

  • Seasonal, part-time schedule starting in Mid-January through mid-July with peak hours in May and during Fair, when weekends and evenings are required. Indoors and outdoors in both climate-controlled and non-climate-controlled spaces. Exposure to weather conditions including fluctuating temperatures.
  • Exposure to dust, food smells, and animal smells.
  • Lively environment with loud noises and large groups of people.
  • Stand/walk for extended periods. Lift up to 30 lbs. Push/pull heavy objects.
